Adding and Removing Trainers, and Managing Trainer Roles

All RYPT subscription plans come with unlimited trainers so that you can invite other coaches, managers, physios, and nutritionists to collaborate with you.

All trainers will have access to all of the clients/athletes in the gym but different roles are used to control the access and permissions each trainer has to different features.

This video walks you through how to invite other trainers to your RYPT gym.

Roles Explained

Owner

The Owner is the trainer who created the gym. They have access to almost all of the functionality. The only limitation is that they cannot record or edit injuries, or view sensitive injury data like notes and attachments. They must be assigned the Medical Team role to access this functionality.

If there are other trainers in the gym the Owner cannot leave the gym unless they first remove the other coaches or transfer ownership of the gym to one of the other coaches.

Trainer

If an Owner invites another trainer to the gym they will be added with the Trainer role by default. Trainers have some limitations, they can’t:

1. View or manage the subscription plan
2. Access the Wallet in RYPT Products
4. Edit the Gym Profile
5. Invite other trainers to the gym
6. Remove other trainers from the gym

Admin

If the Owner wants other trainers to have the same access and permissions they have they can make them an Admin. Then they will have full access to all of the functionality.

Medical Team

Trainers with the Medical Team role are the only trainers who can record and edit injuries, and also the only ones who can view sensitive injury data like notes and attachments.

Invite a Trainer to your Gym

NOTE: To invite a trainer to a gym, you must be an Owner or Admin in that gym.

To invite a trainer to your gym, please follow these steps:

  1. On the main menu, click Profile, and then click Gym Profile to open your Gym Profile
  2. In the top-right hand corner you’ll see the current trainers in your gym (scroll down to see this if you’re on tablet or mobile)
  3. Click Add trainer and enter the new trainer’s email address to send them an invite

Pending Trainer Invites

If they already have a RYPT account with the email address you used they’ll be immediately linked. If not, they will appear in the Pending Trainer Invites section until they sign-up via the link in the email invite. You can also Resend or Cancel the invite from here if necessary. Just click the menu to the right of the email address to do so.

Remove a Trainer from your Gym

NOTE: To remove a trainer from a gym, you must be an Owner or Admin in that gym.

To remove a trainer to your gym, please follow these steps:

  1. On the main menu, click Profile, and then click Gym Profile to open your Gym Profile
  2. In the top-right hand corner you’ll see the current trainers in your gym (scroll down to see this if you’re on tablet or mobile)
  3. Find the trainer you’d like to remove, click on the menu (three dots) to the right of their name and click Remove from gym

Manage Trainer Roles

NOTE: To change a trainer’s role in a gym, you must be an Owner or Admin in that gym.

To change a trainer’s role, please follow these steps:

  1. On the main menu, click Profile, and then click Gym Profile to open your Gym Profile
  2. In the top-right hand corner you’ll see the current trainers in your gym (scroll down to see this if you’re on tablet or mobile)
  3. Find the trainer you’d like to change their role, click on the menu (three dots) to the right of their name and click Make Admin or Remove Admin Role
